Rent and Payments

Handle late rent and reminders

See who is overdue and by how many days, send automatic reminders, resend when needed, escalate to a formal notice, and keep a complete audit trail.

Late rent is easier to handle when the system does the chasing and keeps the record. ProperLease flags who is behind, sends reminders on a schedule, and, when it comes to that, produces a formal notice with an audit trail behind it. This page covers how overdue is flagged, sending and resending reminders, escalating to a notice, and keeping the paper trail.

How overdue is flagged

Every tenant carries a status derived from the rent recorded against them: Paid, Behind, or Overdue. Once the due date passes with no payment recorded, the tenant moves to Overdue and ProperLease shows a running count of days overdue. That number keeps climbing until you record the payment, so a glance at your tenant list tells you both who is late and how late.

Days overdue matters for more than urgency. Many jurisdictions tie notice timing to how many days rent has been outstanding, so an accurate count is the starting point for any formal step.

Send automatic reminders

ProperLease can send automatic rent reminders to the tenant's email, both before and after the due date. A gentle pre due date nudge often prevents lateness entirely, and an after due date reminder handles the follow up without you writing a message. Because reminders go to the email on the tenant record, keeping that address current is what makes the whole flow work.

Prevention beats collection

A reminder a few days before rent is due catches the honest forgetters, who are most tenants. The formal steps below are for the smaller number who need them.

Resend a reminder

If a reminder goes unanswered, you can resend it rather than waiting for the next scheduled one. Each send is recorded, so a resend adds to the history rather than replacing it. That matters later: a dated sequence of reminders shows you gave fair warning before escalating.

Escalate to a formal notice

When reminders are not enough, escalate. The Notices feature produces a clear, dated written notice with the tenant, the property, the unit, and the balance owing filled in from your records, generates a PDF, and emails it to the tenant. Every send is timestamped, and that record is your proof of service.

What it is not is your jurisdiction's official statutory form. ProperLease does not generate an Ontario N4 or any other tribunal form; the templates are generic documents that name your jurisdiction rather than reproducing its form. If your next step is a filing, get the official form from your tribunal or housing authority and serve it the way that body requires. The ProperLease notice is the dated written warning that sits between a reminder and that statutory step.

Keep the audit trail

Every reminder sent, every resend, and every notice generated is recorded with a date. This audit trail is your evidence that you followed the correct process on the correct dates: warned the tenant, gave them a chance to pay, and escalated to a written notice only after. If a dispute reaches a tribunal or board, that dated record is often what decides it.

Because the trail is built automatically as you act, you do not have to assemble it after the fact. It is already written by the time you need it.

A measured approach

Escalating too fast can sour a workable tenancy; escalating too slowly can cost you months of rent. The right rhythm is usually reminder, resend, then notice, with the days overdue count guiding the timing. For a practical playbook, read how to handle late rent.

General information, not legal advice

Notice types, required forms, required timing, and service rules vary by province and state. This is general guidance, not legal advice. Confirm the correct process for your jurisdiction, and get the official form from the body that publishes it, before serving anything.
