What is ProperLease

A quick overview of what ProperLease does, who it is for, and the simple mental model that ties properties, tenants, leases, and rent together.

ProperLease is a property management app built for self managing landlords in Canada and the United States. It runs on iPhone and on the web, and it keeps everything about your rentals in one place: properties, tenants, leases, rent, expenses, utilities, notices, and tax reports.

Who it is for

ProperLease is made for individual landlords who manage their own units, from a single condo up to a small portfolio of around twenty doors. You do not need an accountant, a bookkeeper, or a property manager to use it. If you own the property and you collect the rent, this is built for you.

It works the same whether your rentals are in Ontario, British Columbia, Quebec, or one of 45 US states. The lease documents and the tax reports adjust to your jurisdiction. Notices are the exception: they are generic written documents that name your jurisdiction rather than reproducing its official form, so for a statutory step you still get that form from your tribunal or housing authority.

What it does

Everything a small landlord actually deals with has a home in the app:

  • Properties track each building or unit, occupancy, and health at a glance.
  • Tenants are grouped by property, each with a clear Paid, Behind, or Overdue status.
  • Leases generate the correct provincial or state lease as a PDF, and track deposits and renewals.
  • Payments log rent in one tap by e transfer, bank transfer, ACH, or cash.
  • Expenses record deductible costs, one time or recurring, and can be created straight from maintenance.
  • Utilities track bills, who pays, whether they are paid, and chargebacks to tenants.
  • Maintenance manages work orders with photos and can turn a repair into an expense automatically.
  • Notices produce dated written documents for late rent, eviction, and lease violations, with a full audit trail. They are ProperLease's own wording, not your jurisdiction's official form.
  • Deposit returns are produced from the tenant record: itemize your deductions and download the security deposit return statement.
  • Reports build year end income, expense, and cashflow summaries aligned to the T776 in Canada or Schedule E in the US.

The mental model

ProperLease is easy to learn because everything connects in one direction. Once you see the chain, you always know where to add something and where a number came from.

  1. Properties hold tenants. Each property has one or more units, and each occupied unit has a tenant.
  2. Tenants have leases. A lease ties a tenant to a unit with a rent amount, term dates, and a deposit.
  3. Leases produce rent. The lease sets what is expected each month, and every payment you log settles against it.
  4. Rent rolls up to the dashboard. All of that collected and expected rent flows into your dashboard, your per property cashflow, and your year end reports.
Add purchase details to unlock real cashflow

When you enter a property's purchase price along with its mortgage, property tax, and insurance, ProperLease can show actual cashflow per property: income minus your real carrying costs, not just rent collected.

Because the records are connected, you never copy a number from one place to another. Log a payment once and it updates the tenant status, the property cashflow, and the reports at the same time.

iPhone and web, always in sync

You can do everything from the iPhone app or the web app, and your data syncs across both automatically. Log a payment on your phone when the e transfer lands, then open the web app at your desk to run a report. It is the same portfolio either way.
