When a reminder is not enough, the next step is a written notice. ProperLease produces a clear, dated document with the tenant, the property, the unit, and the balance owing filled in from your records, emails it, and keeps a timestamped record that you sent it.
The templates are generic, professionally worded documents that name your jurisdiction. They are not the statutory form a tribunal requires for a step such as an Ontario N4. Get that form from your tribunal or housing authority, and serve it the way that body requires. The ProperLease notice is the dated written warning that sits between a reminder and a statutory filing, and it is what you point to later to show you gave fair warning.
Create the notice
Open Notices and choose the type. Eleven are available: late rent, notice to enter, lease renewal offer, eviction for non payment, rent increase, move out, cleanliness, noise and quiet hours, unauthorized occupant, pet policy violation, and other lease violations. The common ones:
- Late rent: for non payment, once the account is past due and reminders have gone unanswered.
- Eviction for non payment: the written escalation that follows unanswered late rent notices, stating the balance owing and that formal proceedings may follow.
- Lease violation: noise, cleanliness, pets, unauthorized occupants, or any other breach of the agreement.
Select the tenant and lease, and ProperLease fills in the property, unit, and balance owing from your records.
The itemized security deposit return statement is a separate document, produced from the tenant's own record rather than from this screen. Open the tenant, choose Deposit return, itemize your deductions, and download the statement PDF. See hold and return security deposits.
Generate and send
ProperLease generates a PDF of the notice and attaches it to the email sent to the tenant. You get a clean, dated document and the tenant gets it in writing. The message and its attachment are logged.

Keep proof of service
Every notice you send is recorded under Notifications with the recipient, property, date, and time. This audit trail is your proof of service. If a dispute reaches a tribunal or court, being able to show exactly what was sent and when is often what decides it.
Some jurisdictions require a specific delivery method for certain notices (in person, posted, mailed, or served by a set deadline). The app records the email you sent. Follow any additional service method your province or state requires and keep that proof too.
What not to do
Do not change the locks, remove belongings, or shut off utilities to force a tenant out. These self help evictions are illegal almost everywhere and expose you to serious penalties. Removing a tenant requires the proper notice and, if they do not comply, an order from the tribunal or court. This page is general information, not legal advice, and the rules vary by jurisdiction.
